Guidance concerning Registration and Online Entry

I know that some of you are unsure about using online entry systems. However, some events are now moving over to online only and abandoning the old paper and cheque methods.

UKforms offers a free to use registration system (registration is different from a race entry). This is the best method of getting to grips with online entry. If you have not already registered, there are two ways to do this:
1) On the top menu on most of the main site pages, you will see a "Login" option at the right hand side. Click on this to be taken to the main login page. For first time use, select "Register" from the options. Complete the basic form and your details will be stored.
2) In most entry forms you will see a box which offers you the chance to register your details. Select that box and then the details you put in the form will be stored

Why register? Once you have registered you will be sent an acknowledgement and password. You then use the email address you registered to log in when you next come back to the site, together with the password (which you can change to something easier to remember once logged in). After you have logged in, most forms will then be pre-filled with your basic information, saving you time and effort! Events you have entered whilst logged in will be remembered by the system and listed for you.

Some questions you might ask....
I've entered a race but got an email saying that my email address was already registered Your form has still been submitted so don't worry about that. You got this message because, on some previous visit, you registered your email address as your user name to log into the site but you didn't log in before you completed this latest form. On the form you have once again ticked the box to register your email address, but you can only do this once! Next time you visit, use the "Login" option on the menu and you'll find that your entry form is already filled in for you. If you don't log in, you'll have to fill the form in again and any race you enter won't be stored with your details.

I've registered and logged in but want to enter another person into a race That's fine. Go to the form you want, delete your own details and add that other person's details where they are different to your own, then submit the form. Their entry submission will be stored in your entry data.

How do I pay? The price you see on the form (with only a couple of exceptions where series discounts may be calculated) is the price you pay - no extra charges added at the last minute. The principal payment methods are Paypal and Nochex. You don't need to have a Paypal or Nochex account to pay in either of these ways - just select the "Pay by card" option. Payments may show on your statements as payments to Paypal or Nochex, but not necessarily to UKforms.

What happens when I click the buttons? Your form is submitted to me when you click the "Pay now" button (you are sent an automated response from my site assuming you have completed your email address correctly). You then go to the chosen payment page. This is completely outside my site and I have no control over what happens whilst you are on it! So that you know, I NEVER get ANY information about your credit or debit card - your transaction security is handled totally by Paypal/Nochex. When you have made your payment, I am sent a transaction receipt. I match up your form with your payment and then send you a further acknowledgement confirming your entry. Your details and payment are then passed to the event organiser.

What happens if I can't pay? Generally, when I review entries received, I will send you an email asking if you have had a problem to see if I can assist.

Can I pay some other way? Yes you can. You may also pay via internet banking or over the counter at a branch of HSBC. You will need to contact me and I will send you details of how to pay, how much to pay and the payment reference to quote.

Can I make one payment for several people? Yes you can. You need to email me to say that you are submitting entries for (named) people and want to make a single payment and nominate your chosen payment option - Paypal, Nochex or internet/counter payment. Then you need to submit a form for each person (this means clicking the "Pay now" button for everyone and going back to the online form each time you reach the payment page). Once I have all the forms and can check the value I can then send you details of how to pay.

Can I pay for more than one event in one payment? Because I am acting as an agent for many different organisers, I need to be able to keep payment transactions unique to an event so no, at this stage, you cannot pay for multiple events in one payment UNLESS you are paying via internet banking.

Why don't I get a quick automated receipt? You should get a payment receipt from Paypal/Nochex once your transaction is complete. This is prima facie confirmation of your entry. You will need to await email confirmation from UKforms which is a non-automated personal service. There may be delays if I am ill, on holiday, or helping out at an event. Normally, you should get a personal response within 24 hours or so, often quicker. The system I operate allows me to quickly check your entry for errors (e.g. you are in a club but have paid the unattached rate, or you have spelt your email address wrong!) so I can try to resolve problems before they become worse.

My race number hasn't arrived! First, are you sure it was to be posted and isn't actually for collection? I only handle the issue of race numbers for a couple of events - they will be obvious as they have my address on the entry form! For all other races, PLEASE CONTACT THE RACE ORGANISERS NOT ME - I don't know where your number is either!

What if I want to cancel? Events operate different policies with regard to cancellation. I am here to assist you and will try my best to get the event to agree to a refund which I will process provided that the request to refund is within strict time limits imposed on me by Paypal. Please DON'T just instruct your card company to cancel or indicate that you don't recognise the transaction. This causes me all sorts of problems. I WILL help if I can.
